Umbilo School Shirts

For this Umbilo school shirt project, we produced bulk house shirts and volunteer tops for a local school event week in Durban. The brief called for clear school branding, consistent print quality and a turnaround that fit the event timetable.

Umbilo School Shirts

School Event Brief from Umbilo, Durban

The client was a local school in Durban, working through an event committee that needed shirts for learners, staff helpers and volunteer support teams. The order had to cover different sizes, keep the same print position across all garments, and hold up through a full week of assemblies, sports, setup duties and gate control.

Because the shirts would be worn outdoors in KZN weather, the school wanted prints that stayed readable in bright sun, handled a bit of humidity, and still looked neat after repeated washing. We were asked to handle the artwork, the screen making, and the production schedule in one run so there was no delay between approval and printing.

  • Project type: bulk school shirts for event week
  • Location: Umbilo, Durban with delivery into the wider Durban area
  • Garment use: house shirts, volunteer tops and support staff wear
  • Finish requirement: clean front branding with repeatable placement across all sizes

What Had to Be Managed Before Printing

The first job was to tidy the artwork and make sure the logo and wording could print cleanly at the chosen size. School artwork often arrives in mixed formats, so we checked line weight, spacing and colour breaks before moving into colour separation. That saved time later, especially where the design had thin details that would have filled in on the screen.

We also had to work around a few practical limits. The garments came in mixed sizes, the event date could not move, and the school needed a delivery window that suited their prep day. Durban conditions matter too. In humid weather, ink drying and screen storage need attention, and load-shedding can affect the pace of production if the work is not planned properly. We scheduled the run so exposure, washout and print stages stayed on track without rushing.

  • Artwork checked for size, spacing and printability
  • Colour separation prepared for single and two colour output
  • Screen exposure set up for a repeatable front print position
  • Production timed to suit the school’s event week

Screen Making and Print Setup

Our in-house stencil and screen making team handled the screen preparation from start to finish. That included film output, screen stretching, emulsion coating, exposure, washout and touch-up, then registration so the print sat correctly on each shirt. Keeping this work on site helped us match the print position and keep the line tight across the full batch.

For a school order, consistency matters more than anything. A shirt for a teacher, a volunteer top for a parent, and a house shirt for a learner all need to look like they belong to the same event. We also reclaimed a few screens after the run, which is important when a client wants to reuse the design or place a follow-up order later in the term.

  • Film output prepared in-house
  • Screens stretched, coated and exposed on site
  • Washout and touch-up done before production
  • Screen storage and reclaiming available for repeat orders

Bulk Printing for Shirts, Caps and Support Wear

Once the screens were ready, production moved into the print run. The order covered bulk house shirts and volunteer tops, with room for the school to add extra pieces if needed. We printed in a way that kept the front artwork crisp and the coverage even, while still allowing for different garment sizes in the same batch. A clean print is especially important on school wear because it has to look organised at registration points, sports days and assembly lines.

The same workflow can also be used for caps, banners and signage if the school wants matching event branding. In this project the focus was on shirts, but the process stayed flexible enough to allow for future add-ons. That helps schools plan a full event pack without having to brief multiple suppliers. It also keeps colour and layout more consistent across the range.

  • Suitable for small and larger volume runs
  • Useful for house shirts, staff tops and volunteer wear
  • Can be matched with banners and directional signage
  • Print placement kept uniform across all sizes

Timeline, Delivery and Event Week Hand-over

The project was completed over two weeks from artwork sign-off to dispatch. Week one covered artwork checking, screen preparation and approval of the print layout. Week two covered the print run, final checks and packaging for delivery. That timing gave the school enough breathing room to sort sizes and issue shirts before the event week started.

Dispatch was handled from our Umbilo base with courier delivery arranged for the Durban route. The school needed the order to arrive boxed and counted, so the hand-over was done in a way that made distribution easier for their admin team. We kept the pieces grouped by size where possible, which reduced sorting time on site and helped the volunteers get moving fast on the first day. No one wants to be counting boxes while learners are already queuing.

  • Lead time: 2 weeks
  • Dispatch area: Umbilo, with delivery into Durban and KZN routes
  • Packaging: sorted and counted for easier issue
  • Use case: ready for event week wear and daily handling

Results for the School and What We Would Repeat

The school received a neat, practical shirt run that matched the event brief and held up to the pace of the week. The printed branding stayed easy to read, the garments arrived in time, and the team had enough stock to cover staff and volunteers without scrambling for extras. That matters for school functions because the first morning sets the tone for everything that follows.

If we were doing this again, we would keep the same sequence of artwork checking, screen making and batch printing, because it reduced waste and avoided last minute changes. For a similar order, we would also recommend confirming size split a little earlier, especially where parents and volunteers are involved. It keeps the run smoother and prevents reprints. The process worked well because it was planned around the realities of Durban weather, school admin timing, and the need for garments that stay presentable after repeated wear.

For schools in Umbilo, Berea, Westville, Pinetown, Amanzimtoti, Ballito and Pietermaritzburg, this kind of job is a good fit when you need fast, organised production without sacrificing print quality. We handle schoolwear the same way we handle business and club orders: keep the artwork clear, keep the screens accurate, and keep the delivery simple.

Who Worked on the Order

The project was coordinated by Sibusiso Mthethwa, with production managed by Anele Zungu and screen prep led by Yusuf Khan. Nokuthula Dlamini handled the client side of the order, Priya Naidoo checked the artwork and file setup, and Lwazi Khumalo supervised dispatch. That mix of roles meant the order moved from enquiry to delivery without gaps in the handover.

For clients, this is useful because there is one team keeping an eye on each step, from the first artwork check right through to the final box leaving Umbilo. It helps when the order includes mixed sizes, event deadlines and a need for consistent print quality across every shirt.
